Real-World Time Card Calculation Example
Imagine an employee working a typical split day with a morning shift, an unpaid lunch break, and an afternoon shift:
- Morning Period (Shift 1): Clock in at 8:30 AM, clock out for lunch at 12:00 PM = 3 hours and 30 minutes (210 mins).
- Unpaid Lunch Interval: 12:00 PM to 12:45 PM (45 minutes unpaid break).
- Afternoon Period (Shift 2): Clock in at 12:45 PM, clock out at 5:15 PM = 4 hours and 30 minutes (270 mins).
Calculation: 210 mins (Morning) + 270 mins (Afternoon) = 480 total net minutes. Dividing 480 by 60 equals exactly 8.00 decimal hours. At a pay rate of $22.50/hr, the gross daily pay is $180.00.
How to Use the Time Card Calculator & Calculation Formula
Step-by-Step Instructions
- Enter Shift 1: Select your initial clock-in time and clock-out time using standard 12-hour AM/PM or 24-hour military notation.
- Input Break Minutes: Enter any unpaid lunch or rest periods in minutes (e.g. 30 for half-hour lunch).
- Enable Second Period if Needed: If you clock out for lunch and clock back in later, click "Add Second Work Period" to input afternoon hours.
- Review Decimal Hours: Copy your net hours worked and decimal hours directly into your timesheet, ADP, or payroll portal.
Mathematical Calculation Formula
Decimal Hours = Hours + (Minutes ÷ 60)
If a shift ends the next day (crossing midnight), the calculator automatically adds 1,440 minutes (24 hours) to prevent negative durations and maintain exact accuracy.
